About the position

The Facilities Manager will be responsible for the maintenance and management of the building and its related structures and services. This role involves both direct maintenance tasks and the coordination of outside contractors when necessary. The Facilities Manager will oversee various systems including electrical, plumbing, security, heating, cooling, landscaping, and snow removal. The position requires a proactive approach to ensure that the environment and grounds are kept in a suitable condition, which includes managing services such as cleaning, maintenance, security, and parking. Essential functions of the role include evaluating and coordinating needs with special vendors for plumbing, electrical, fire suppression systems, electronic access, grounds keeping, HVAC, and other specialty trades. The Facilities Manager will supervise all facilities staff, including custodians, technicians, groundskeepers, and maintenance personnel, as well as external contractors. Responsibilities also include planning and coordinating installations and refurbishments, managing equipment upkeep, performing maintenance and repairs, and coordinating building and grounds maintenance. The Facilities Manager will be responsible for managing landscaping and snow removal projects, ensuring compliance with health and safety standards, inspecting building structures for repairs or renovations, and addressing ongoing maintenance needs. The role requires effective management of janitorial and maintenance staff to ensure cleanliness and maintenance of all facilities. Additionally, the Facilities Manager will handle emergency issues, oversee painting schedules, manage relationships with third-party vendors, and ensure adherence to facility budgets. Reporting to senior management with detailed and accurate reports about the facility premises is also a key responsibility. The position requires maintaining up-to-date records for inspections and documenting processes and procedures.

Responsibilities

  • Provide maintenance for the building and related structures and services.
  • Manage services such as cleaning, maintenance, security, and parking.
  • Evaluate and coordinate needs with special vendors including plumbing, electrical, and HVAC.
  • Supervise all facilities staff and external contractors.
  • Oversee the cleaning and maintenance of the facility.
  • Plan and coordinate all installations and refurbishment needs of the facility.
  • Manage the upkeep of equipment and supplies and coordinate installations and refurbishments.
  • Perform reasonable maintenance and repairs including patching, painting, and changing light bulbs.
  • Coordinate building and grounds maintenance and repair.
  • Manage landscaping and snow removal projects.
  • Inspect buildings' structures to determine the need for repairs or renovations.
  • Proactively address all ongoing maintenance needs for the centers.
  • Drive effectiveness and results from janitorial and maintenance staff.
  • Respond and coordinate efforts to handle all emergency issues.
  • Oversee ongoing center painting needs and schedules.
  • Manage relationships with various 3rd party vendors who support facility maintenance.
  • Ensure adherence to facilities budgets.
  • Keep senior management informed with detailed and accurate reports about the facility premises.
  • Maintain up-to-date records for all state, federal and annual inspections.
  • Document all new processes and procedures and keep current documentation accurate.
  • Maintain adequate parts inventory and order items as necessary.
  • Perform preventative maintenance and repair to ensure equipment is working properly.
  • Provide training on maintenance and cleaning policies and procedures as required.

Requirements

  • Associates or bachelor's degree in related field.
  • Minimum 5 years of responsibility at a management level in property management, engineering, maintenance, or construction in Commercial Properties.
  • HVAC Certification (Required).
  • CFC Certification (Preferred).
  • Bilingual (English/Spanish) - required.
  • Related military experience of comparable levels is accepted.
