About the position

The Facility Manager II at Stanford Health Care plays a crucial role in ensuring the smooth operation of facilities across the Tri-Valley and East Bay locations. This position is integral to the Facilities Services & Planning (FS&P) division, which provides essential non-clinical operational support to Stanford Health Care and its affiliated entities. The Facility Manager is responsible for managing a portfolio of approximately 500,000 square feet, acting as the primary point of contact for customers, and overseeing a wide range of facility services including maintenance, security, cleaning, and emergency response. The role requires a proactive approach to customer relationship management, ensuring a safe and productive environment for patients, guests, and employees. In this position, the Facility Manager will lead and coordinate project teams, ensuring that all projects are completed on time, within budget, and in compliance with relevant regulations. This includes managing vendor relationships, conducting regular inspections, and implementing quality control measures. The Facility Manager will also be involved in financial management, seeking cost efficiencies, and preparing variance reports. The role demands a strong understanding of building systems and equipment, as well as the ability to assess project scopes and ensure adherence to safety and operational standards. The Facility Manager II will also participate in the FS&P On Call System, which may require availability during non-standard hours, including nights, weekends, and holidays. This position is not only about managing facilities but also about contributing to a culture of continuous improvement and exceptional patient care, aligning with Stanford Health Care's mission to heal humanity through science and compassion.

Responsibilities

  • Manage, coordinate, and liaise facility services including parking, security, cleaning, landscaping, and maintenance services.
  • Maintain customer relationships through proactive interactions and regular site visits.
  • Ensure a healthy and safe work environment through education and training.
  • Directly responsible for financial management of cost centers in the portfolio, seeking cost efficiencies.
  • Perform regular site inspections for condition, safety, and aesthetics, including vendor audits.
  • Act as a point of escalation in managing emergency events.
  • Assist in developing policies, guidelines, and standards, representing the department on committees.
  • Implement quality control measures to ensure project compliance with policies and regulations.
  • Assess and document project scope and program, including user functional needs and safety criteria.
  • Manage the review and approval process for design work and project budgets.
  • Prepare and maintain accurate project records and cost estimates.
  • Manage daily interactions with landlords for service level adherence and approvals.
  • Oversee furnishing and equipment selection, purchasing, and installation processes.
  • Ensure compliance with Fire Life Safety regulations and manage cosmetic upgrades as needed.
  • Manage labor pool to coordinate facilities requests and oversee contract negotiations for services.
  • Participate in the FS&P On Call System and advance staff development through on-the-job training.

Requirements

  • Bachelor's degree in a work-related discipline/field from an accredited college or university.
  • 4-5 years of progressively responsible and directly related work experience.
  • Valid California Driver's License.
  • Ability to apply judgment and make informed decisions.
  • Ability to conduct analysis and formulate conclusions.
  • Ability to effectively prioritize work and meet deadlines in a fast-paced environment.
  • Ability to foster effective working relationships and build consensus.
  • Knowledge of regulations and procedures related to building maintenance.
