About the position

The Assistant Facilities Manager position at JLL is responsible for the systems administration of a maintenance management system, reporting, and facilities support for a distributed retail portfolio. This role involves collaborating with the Facility Management team to manage routine facility operations, including work order management and coordination with maintenance technicians and third-party providers.

Responsibilities

• Plan, schedule, coordinate, and assign maintenance activities for the team.
• Oversee Health, Safety, Security, and Environment initiatives and processes.
• Communicate KPI and SLA requirements and identify service delivery improvements.
• Manage third-party contractors/vendors regarding work order completion.
• Review daily work orders and ensure successful service delivery and customer experience.
• Follow up with customers, technicians, and vendors for effective communication.
• Provide direction and information to vendors and facilities staff to ensure excellent coordination of work.
• Coach vendors on the use of the CMMS (Corrigo).
• Mitigate operational risk and ensure the integrity of the CMMS.

Requirements

• 3-4+ years' experience in facilities management and managing CMMS/Work Order applications.
• Superior customer service skills with a strong orientation towards exceptional customer experience.
• Proficient in MS Office, especially Excel, with strong written and verbal communication skills.
• Ability to customize administrative reports.

• Ability to plan and manage work under time constraints.
• Undergraduate degree preferred, or equivalent experience.
