About the position

The Operations and Maintenance Coordinator is a critical role within the Facilities Management team, responsible for ensuring the smooth operation of maintenance activities across multiple facilities. This position requires a proactive individual who can effectively manage maintenance work orders, communicate with various stakeholders, and ensure compliance with company policies and procedures. The Coordinator will be tasked with receiving, dispatching, and following up on maintenance requests, which involves close collaboration with business partners and vendors. The role also includes soliciting quotes for services, verifying invoices, and updating work order statuses to maintain accurate records of facility activities. In addition to these core responsibilities, the Coordinator will provide clerical and project assistance to the Operations and Maintenance (O&M) and Environment, Health, and Safety (EHS) Teams. This includes answering inquiries from employees and vendors regarding repairs and maintenance, as well as monitoring and maintaining databases and documentation related to facility operations. The ideal candidate will be detail-oriented, organized, and capable of managing multiple tasks in a fast-paced environment while delivering exceptional customer service. The position requires a strong ability to communicate effectively, both verbally and in writing, to provide clear direction to stakeholders. The Coordinator will also be responsible for ensuring that vendors comply with company policies and procedures, thereby playing a vital role in maintaining the integrity and safety of the facilities. This is a contract position based in Austin, TX, and requires the candidate to work onsite during an 8-hour shift.

Responsibilities

  • Receive and dispatch maintenance work orders.
  • Follow up on maintenance requests and communicate with business partners and vendors.
  • Solicit quotes for services and verify invoices.
  • Update work order statuses and maintain accurate records.
  • Provide clerical and project assistance to the O&M and EHS Teams.
  • Assist employees and vendors with inquiries regarding repairs and maintenance.
  • Answer telephones, emails, and written correspondences.
  • Monitor and maintain databases and documentation related to facility activities.
  • Provide direction to vendors and ensure compliance with policies and procedures.
  • Complete general office duties as directed.

Requirements

  • 4+ years of experience in a fast-paced multi-facility call center environment.
  • Experience with CMMS systems and invoice processing is a plus.
  • Strong customer service and problem-solving skills.
  • Ability to communicate effectively and provide clear direction to stakeholders.
  • Excellent organizational and detail-oriented skills.
  • Ability to manage time efficiently and multi-task effectively.
  • Familiarity with the Mac platform and Microsoft Office programs.
  • Strong analytical and problem-solving abilities.
  • Ability to work well under pressure in a demanding environment.
  • Strong verbal and written communication skills.
  • Facilities experience is preferred.
