The Facility Specialist is responsible for managing the day-to-day operations of facility maintenance, ensuring that all projects, technician work orders, and preventative maintenance services are prioritized and scheduled effectively. This role involves maintaining comprehensive tracking for service contracts, general repairs, maintenance, construction projects, and budget management. The Facility Specialist will manage facilities support requests through various channels, including a help line and email, selecting vendors, coordinating and scheduling work, and following up on project completion. They will also evaluate and review service reports and reconcile invoices, ensuring that all purchase requests are tracked appropriately. In addition to managing requests, the Facility Specialist will develop, revise, and maintain reference documents for building systems, including EMS, lighting, sprinkler, and HVAC systems. They will administer Certificates of Insurance for all repair and maintenance vendors, ensuring compliance with policies and maintaining updated records. The role also involves developing and maintaining maintenance contracts and service agreements, researching and selecting vendors for best value, and negotiating pricing. The Facility Specialist will evaluate vendor performance and handle terminations for non-performance as necessary. The position requires the development of scopes and statements of work for facilities projects, soliciting budgetary quotes, and analyzing proposals to ensure the best overall value. The Facility Specialist will also assist with special projects, including construction and reconfigurations, and will conduct site assessments and service reviews to develop corrective action plans for safe and compliant operations. Proposing process and program improvements to enhance efficiency and value to the business is also a key responsibility of this role. Other duties may be assigned as needed.
