About the position

The Facilities Operations Manager is responsible for overseeing the day-to-day operations of facility maintenance, ensuring that all projects, technician work orders, and preventative maintenance services are prioritized and scheduled effectively. This role involves maintaining comprehensive tracking for service contracts, general repairs, maintenance, construction projects, and budget management. The Facilities Operations Manager will manage facilities support requests through various channels, including a help line and email, ensuring that all requests are addressed promptly and efficiently. In this position, the manager will select vendors, coordinate and schedule work, follow up on project completion, and evaluate service reports while reconciling invoices. The role also requires the development, revision, and maintenance of building systems reference documents, including those for EMS, lighting, sprinkler, and HVAC systems. The manager will administer Certificates of Insurance for all repair and maintenance vendors, ensuring compliance with policies and maintaining updated records for all current vendors and service providers. Additionally, the Facilities Operations Manager will develop and maintain the department's maintenance contracts and service agreements, researching and selecting the best value vendors while negotiating pricing for optimal value. Evaluating vendor performance and processing terminations for non-performance is also a key responsibility. The manager will develop scopes and statements of work for facilities projects, solicit budgetary quotes, and analyze proposals to ensure the best overall value is achieved. The role includes tracking ongoing projects, assisting with special projects such as construction and reconfigurations, conducting site assessments, and developing corrective action plans to ensure safe and compliant facility operations. The Facilities Operations Manager will also propose process and program improvements to enhance efficiency and value to the business, while performing other duties as assigned. This position operates under general supervision and may involve mentoring junior support personnel.

Responsibilities

Requirements

  • Typically requires a BS/BA in a related discipline or MS/MA with relevant experience.
  • 0-2 years of experience in a related field for BS/BA holders, or 0-1 year for MS/MA holders.
  • Certification may be required in some areas.
