The Department of Pediatrics has an outstanding opportunity for a full-time Faculty Affairs Program Specialist to join their team. This position is a critical member of the central administration team, and the primary responsibilities include management and oversight of faculty peer performance reviews, compliance and workday management, and management of appointment, promotion and re-appointments of particular employee types. They will do so using discretion and independent judgment and are accountable for the program/process results. As the second largest department in the UW School of Medicine, the Department of Pediatrics is dedicated to improving the health of all children and adolescents by educating physician leaders of the future, advancing research, advocating for children, and providing the nation's best pediatric clinical care. UW Pediatrics has twenty-one clinical divisions with approximately 670 paid faculty members, 134 residents, 70 ACGME fellows, 230 staff employees and over 800 volunteer/affiliate faculty and continues to grow each year. The Department of Pediatrics is a close affiliate of Seattle Children's Hospital (SCH) and Seattle Children's Research Institute (SCRI). Faculty members appointed in the department are located at various institutions (including Seattle Children's, UW Medicine, and Fred Hutchinson Cancer Center), and are part of the Children's University Medical Group (CUMG) clinical practice plan. UW Pediatrics Vision: We strive to be a vibrant Department of Pediatrics where our unified, collaborative efforts produce needed outcomes. DUTIES AND RESPONSIBILITIES 30% Project Management Plan and complete special projects, independently or as a member of a team, including scoping, prioritization, and work allocation/execution. Identify departmental needs, recommend changes, design, and implement improvements. Manage Faculty Peer Performance Review and faculty votes through RedCap. Will work with coordinator for peer clinical evaluations and peer teaching evaluations for all faculty. This position will constantly evaluate and monitor the needs of the Department's Academic HR program and will initiate/refine new and existing systems as the program evolves. Actively guide process improvement efforts to improve the efficiency and effectiveness of the Department. 35% Compliance & Workday Management Respond to data audits and act as primary contact for audits requested by Academic Appointments and Compensation (AAC) team. Run and review Workday data and audits periodically. Maintain Faculty lists (monthly) and contact list requests. Work with Payroll and HR team to ensure data integrity. Manage documentation of Faculty HR actions and generate effective solutions that meet the needs of all parties involved. Partner with department leadership with managing Workday activities to ensure actions and responses are in accordance with applicable rules and regulations. 35% Manage Appointments & Promotions for Selected Employee Types Oversee appointments for various specialized employee types in the department, including, all WWAMI faculty appointments and promotions. Maintain all affiliate & emeritus appointments. Review and advise Department staff and faculty on new policies and procedures relating to affiliate faculty and courtesy faculty. Manage Academic Clinician promotions. Manage annual reappointment process for salaried and non-salaried faculty. Develop and implement tracking systems for the appointment, reappointment and promotion process for assigned employee types. Manage New faculty orientation with the faculty affairs coordinator. MINIMUM REQUIREMENTS Bachelor's degree in Business Administration, Human Resources Management, Health Administration, Public Administration or related field and 2 years of program oversight experience OR equivalent education/experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration DESIRED QUALIFICATIONS Proven administrative, organizational, interpersonal, and problem-solving skills. Ability to prioritize concurrent projects under pressure of deadlines with consistent accuracy and attention to detail. Excellent written and verbal communication skills, ability to multi-task and exercise high degree of judgment in handling sensitive and confidential information. Demonstrated commitment to customer service. Ability to handle confidential information responsibly.
