About the position

The Faculty & Operations Coordinator at the University of Minnesota's Department of Computer Science and Engineering is a vital support role focused on enhancing faculty affairs and operations. This position involves project management, effective communication, and excellent customer service to support a diverse faculty group. The coordinator will manage faculty meetings, assist with recruitment and colloquium support, and handle visa coordination for international faculty and scholars.

Responsibilities

  • Plan and facilitate faculty meetings, including weekly and quarterly meetings, and manage logistics such as catering and room setup.
  • Support faculty committees by scheduling meetings, creating Zoom links, and managing committee communications.
  • Build dossiers for faculty promotion and tenure, collecting necessary data and letters in collaboration with the Faculty Operations Manager.
  • Serve as a liaison between faculty and purchasing staff, training new faculty on the departmental EPurch system.
  • Assist faculty with ChromeRiver reimbursements and ensure compliance with best practices in expense reporting.
  • Maintain and update departmental faculty portal content in collaboration with the Faculty Operations Manager and Chief of Staff.
  • Moderate departmental email for seminar communications and manage travel arrangements for visiting speakers and candidates.
  • Assist with hospitality for guest speakers and candidates, including travel reimbursements and gift arrangements.
  • Process visa requests for international faculty and scholars, ensuring compliance with federal requirements.
  • Lead onboarding for J-1 scholars and student interns, coordinating with HR and Space Management.

Requirements

  • High School Diploma/GED and five years of related experience, including project management.
  • Coursework in a related field may substitute for some years of experience.

Nice-to-haves

  • Demonstrated ability to build and maintain relationships with diverse individuals.
  • Excellent customer service skills.
  • Proficiency in project management software such as Asana, Jira, or Miro.
  • Strong communication skills with experience in explaining policies to diverse audiences.
  • One year of experience creating complex documentation and presentations using Microsoft Suite and Google Applications.
