About the position

The Faculty Operations Coordinator at the University of Minnesota is a critical support role within the Department of Computer Science and Engineering. This position focuses on facilitating faculty affairs, managing departmental communications, and supporting the onboarding of international scholars. The coordinator will work closely with faculty and staff to ensure smooth operations and effective communication, while also providing excellent customer service and project management support.

Responsibilities

• Plan and facilitate faculty meetings, including weekly and quarterly meetings, and manage logistics such as venue reservations and catering orders.
• Support faculty committees by scheduling meetings, creating Zoom links, and managing committee communications.
• Build dossiers for faculty promotion and tenure, collecting necessary data and external letters.
• Train new faculty on the departmental EPurch system and assist with ChromeRiver reimbursements.
• Moderate departmental email and manage travel arrangements for visiting speakers and candidates.
• Process visa requests for international faculty and scholars, ensuring compliance with federal requirements.
• Serve on committees for the University, College, and Department as needed.

Requirements

• High School Diploma/GED and five years of related experience, including project management.
• Demonstrated ability to build and maintain relationships with diverse individuals.
• Excellent customer service skills and strong communication abilities.
• One year of experience creating complex process documentation and presentations using Microsoft Suite and Google Applications.

Nice-to-haves

• Experience with project management software such as Asana, Jira, or Miro.
