About the position

The Family Assistant / Personal Assistant role is designed to provide comprehensive household support, ensuring the smooth operation of the home. The ideal candidate will possess strong executive functioning abilities, exceptional communication skills, and a proactive approach to anticipating the needs of the family. This position requires a detail-oriented individual who can manage various tasks efficiently while maintaining professionalism in all interactions.

Responsibilities

  • Anticipate the needs of the family and take proactive steps to meet them.
  • Provide research findings and administrative support, including managing correspondence, electronic filing, bill payments, and insurance submissions.
  • Create and maintain an organization system for the home and assist in organizational projects.
  • Coordinate maintenance and repair services with the property manager, ensuring all household systems are functioning correctly.
  • Help coordinate travel arrangements.
  • Support with event planning and coordination for family gatherings, parties, or other special occasions.
  • Act as the point person for communication between the principals and household staff, ensuring clear and organized logistics.
  • Manage and coordinate schedules with principals and nannies.
  • Run errands as needed.
  • Assist with transportation and logistics related to children and household activities when needed.

Requirements

  • 5+ years of similar experience as a Family Assistant, Executive Assistant, or Personal Assistant.
  • Exceptional organizational and multitasking skills, with meticulous attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to thrive in a fast-paced environment.
  • Sophisticated communication and interpersonal skills with the ability to interact with staff and external partners.
  • Proficient in using Apple technology and software for calendar management, communication, and other administrative tasks.
  • Must be willing to sign a Non-Disclosure Agreement (NDA).
