About the position

The Family Law Legal Secretary plays a crucial role in the administration of the Family Law department, working closely with the Family Law partner and other legal professionals. This position requires a high level of organization and attention to detail, as the legal secretary will be responsible for the preparation and management of various legal documents, including agreements, pleadings, and discovery materials. The role involves typing and preparing correspondence, ensuring that all documents are accurately filed and served, and maintaining a comprehensive document management database. Additionally, the legal secretary will be tasked with preparing hearing notebooks and managing the partner's calendar, which includes scheduling court appearances and client meetings. In this fast-paced environment, the Family Law Legal Secretary will also engage in client intake and maintain regular contact with clients, ensuring that their needs are met and that they are kept informed throughout the legal process. The position may also involve conducting research, handling special projects, organizing files, and completing other assignments as requested by the attorneys. The ideal candidate will possess a strong work ethic, be able to multi-task effectively, and thrive under pressure while maintaining a collaborative spirit within the team.

Responsibilities

  • Administer the Family Law department and support the Family Law partner.
  • Type and prepare correspondence and legal documents including agreements, pleadings, and discovery.
  • Prepare documents for filing and service, including hearing notebooks.
  • Conduct client intake and maintain regular client contact.
  • Maintain the document management database and partner's calendar.
  • Schedule court appearances and manage attorney assignments.
  • Conduct research and handle special projects as assigned.
  • Organize files and ensure all documentation is up to date.

Requirements

  • High School Diploma required; college degree or Paralegal certificate desirable.
  • 10+ years of experience in family law.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Experience with Timeslips and Essential Forms preferred.
  • Familiarity with Worldox or other document management systems is helpful.
  • Typing speed of at least 60 words per minute.
  • Excellent spelling, grammar, attention to detail, organizational and communication skills.
