About the position

The FDA Tobacco Compliance Contract Specialist at Texas State University plays a crucial role in the administration, coordination, training, and monitoring of the FDA Tobacco Compliance Check Program in Texas. This position involves creating and revising training materials, providing technical assistance to contractors, and ensuring compliance with program requirements. The specialist will also manage program documentation and validate contractor performance, contributing to the overall effectiveness of tobacco compliance initiatives in the state.

Responsibilities

  • Monitor contract compliance including performance, deliverables, invoicing, closeout, extension, budget adjustments, and renewals.
  • Maintain highly confidential program records and equipment inventory.
  • Compile, create, analyze, and report data frequently using databases and Excel worksheets with advanced formats and formulas.
  • Maintain large databases with uploaded documents, spreadsheets, audio, video, and other current program information.
  • Ensure attention to detail, data accuracy, and integrity on all work platforms.
  • Conduct monthly and quarterly program process audits to report to program management.
  • Serve as point of contact to assigned contractors conducting field operations.
  • Provide training and technical assistance to external contractors.
  • Conduct internet research to maintain current policy information and provide instruction and direction to Contractors.
  • Perform other duties as assigned.

Requirements

  • Ability to communicate clearly in English and prepare clear, concise, and grammatically correct correspondence.
  • Demonstrated experience in reviewing documents such as policies and/or procedures, reports, etc. for quality assurance purposes.
  • Demonstrated experience in communicating information or providing feedback to coworkers, contractors, and/or customers.
  • Demonstrated experience in using and maintaining large spreadsheets and electronic databases.
  • Skilled in successfully utilizing MS Office Suite.

Nice-to-haves

  • Demonstrated experience in managing contracts and/or projects.
  • Demonstrated experience in creating and manipulating large data sets in Excel with the ability to use complex formulas, conditional formatting, tables, and graphs.
  • Demonstrated experience maintaining highly confidential program records and equipment inventory.
  • Demonstrated experience providing technical assistance and/or training.
  • Bachelor's degree.
  • Knowledge of Texas and Federal Tobacco Laws and Regulations.
