About the position

The Festival Coordinator, Press Materials and Operations is responsible for managing publicity materials for Festival films, projects, and artists, while coordinating various administrative tasks for the Press Office team. This role involves close collaboration with the Festival Manager and requires effective communication and organization of press assets for both internal and external use. The position is temporary, requiring full-time commitment during the Festival period, with extended hours including evenings and weekends.

Responsibilities

  • Liaise with film teams to gather and organize publicity materials for the Festival program.
  • Upload images and clips of approved materials for various uses, including program guides and press releases.
  • Process press line and event photos during the Festival, coordinating delivery details and managing edits.
  • Create, print, and distribute face sheets for press lines and events.
  • Prepare and deliver publicity materials, ensuring timely distribution throughout the Festival.
  • Use Adobe Suite and Google Products to reformat and convert media as required.
  • Establish workflows and labeling mechanisms for efficient asset distribution.
  • Support the Press Office's presence at Festival Headquarters with administrative tasks.
  • Manage the online press site, prioritizing media requests and updates.
  • Coordinate press interview space with external teams, including scheduling and staffing.
  • Organize information for internal and external reference, such as press line details and publicist contact information.
  • Support press outreach and interview coordination.
  • Complete a comprehensive written wrap report.

Requirements

  • Legal authorization to work in the United States.
  • 2 years experience handling, editing, and organizing media materials or related.
  • Fluency with Photoshop and Adobe Suite preferred, along with Dropbox, Flickr, and Frame.io.
  • Working knowledge of databases and proficiency in Google Products.
  • Excellent organizational skills with the capability to work independently.
  • Strong time management skills and ability to prioritize effectively.
  • Outstanding verbal, written, and interpersonal communication skills.
  • Ability to maintain confidential information.
