About the position

As a Field Operations Specialist at Poplar Homes, you will be an integral part of our property management team, primarily responsible for showcasing vacant properties to potential tenants. Your role is crucial in ensuring that prospective tenants have a positive experience during property tours. You will conduct these tours, providing detailed information about the properties' features, amenities, and lease terms. In addition to property showings, you will support the property management team with various tasks aimed at maintaining the condition and appeal of vacant properties. This includes performing regular inspections of these properties to identify any maintenance or repair needs and reporting them to the appropriate department. You will also engage with potential tenants in a friendly and professional manner, addressing their questions and concerns to facilitate the leasing process. Your responsibilities will extend to managing lockboxes, ensuring they are properly installed and secure, and maintaining accurate records of lockbox codes and access. Collaborating with the marketing team to stage properties for showings will also be part of your duties, ensuring that the properties are visually appealing and clean. You will document property showings, interactions with prospective tenants, and any feedback received during tours. Coordination with maintenance staff, cleaning services, and other vendors will be essential to ensure that properties are ready for showings in a timely manner. Staying informed about the local real estate market, including current rental rates and competitor properties, will enable you to provide informed recommendations to prospective tenants. Lastly, you will ensure that all safety protocols are followed during property showings, including the proper handling of keys and securing properties after tours.

Responsibilities

  • Schedule and conduct property tours for prospective tenants, providing detailed information about the property's features, amenities, and lease terms.
  • Engage with potential tenants in a friendly and professional manner, answering questions and addressing concerns to facilitate the leasing process.
  • Perform regular inspections of vacant properties to ensure they are in top condition, identifying any maintenance or repair needs and reporting them to the appropriate department.
  • Conduct additional inspections, including occupied inspections and scope of work inspections, as well as other field tasks that align with the priorities or specific requests from the Property Management team.
  • Handle maintenance items such as light bulb replacement, moving trash cans to the curb, light cleaning, and reinstalling of first-floor screens.
  • Ensure that lockboxes are properly installed, functional, and secure at all properties, maintaining accurate records of lockbox codes and access.
  • Collaborate with the marketing team to stage properties for showings, ensuring they are visually appealing and clean.
  • Maintain accurate records of property showings, prospective tenant interactions, and any issues or feedback received during tours.
  • Coordinate with maintenance staff, cleaning services, and other vendors to ensure that properties are ready for showings in a timely manner.
  • Stay informed about the local real estate market, including current rental rates and competitor properties, to provide informed recommendations to prospective tenants.

Requirements

  • Minimum of 1-2 years of experience in property management, real estate, or a related field.
  • Experience in a customer-facing role is preferred.
  • Strong communication and interpersonal skills.
  • Ability to multitask and manage time effectively.
  • Attention to detail and strong organizational skills.
  • Basic knowledge of property maintenance and repairs.
  • Proficiency in using property management software and CRM systems.
  • Valid driver's license and reliable transportation.
  • Ability to work flexible hours, including evenings and weekends as needed.
  • Ability to lift and carry up to 25 pounds.

Nice-to-haves
