About the position

The Field Service Project Specialist/Data Entry position at Clean Harbors involves supporting project managers with various administrative tasks, ensuring compliance with regulatory reporting, and providing excellent customer service. The role requires effective communication with clients and regulatory officials, as well as meticulous data entry and documentation management. This is a temporary position based in Jacksonville, Florida, focusing on project closure and billing processes.

Responsibilities

  • Review projects daily to confirm all regulatory reporting requirements have been completed.
  • Assist Project Managers with obtaining final documents from contractors and providing updates to regulators.
  • Compile and organize final documentation summarizing all work completed on projects for clients.
  • Prepare final billing sheets for review and submit final invoices to clients upon approval.
  • Provide backup support to the call center during high call volume times.
  • Answer a multi-line telephone system for emergency and non-emergency calls from clients.
  • Screen and transfer calls in a high-volume phone environment.
  • Complete phone screenings and assist clients in obtaining needed paperwork.
  • Obtain authorization from relevant managers to verify if a spill can be cleaned by terminal once SDS is obtained.
  • Log information from client interactions into the ALERT system accurately.
  • Provide and maintain excellent customer service and satisfaction.
  • Ensure compliance with all SOPs and client special instructions.
  • Identify and escalate emergency spill communications to appropriate Project Managers.
  • Conduct telephonic regulatory reporting to ensure compliance on behalf of clients.
  • Submit reports to regulatory agencies and communicate effectively with contractors and clients.
  • Return all internal and external communications in a timely manner.
  • Log billable hours to specific projects.

Requirements

  • 2 to 3 years of experience in customer service, call center, dispatch, or similar role.
  • Excellent written and verbal communication skills.
  • Data entry skills with a typing speed of 35-40+ WPM.
  • A 4-year degree in a related field such as Environmental Science, Chemistry, or Waste Management, or direct hazardous material response experience is required.
  • High School diploma or GED.
  • Strong time management, attention to detail, and organizational skills.
  • Experience with RCRA, OSHA, and DOT Regulations.
  • Must be eligible to work in the US.

Nice-to-haves

  • Experience in a clerical or administrative support role.
  • Ability to remain calm and confident during stressful situations.
  • Experience with software used by ERTS.
