About the position

The File Clerk (OA) position serves as a vital role within the Medical Records Scanning Unit of the Health Information Management Section at the Southern Oregon Rehabilitation Center and Clinics (SORCC). The primary purpose of this role is to manage and maintain health and administrative records, ensuring they are accurately indexed, scanned, and filed according to established procedures. The position requires effective communication and customer service skills to handle requests and resolve issues while maintaining confidentiality and compliance with regulations.

Responsibilities

  • Receives, indexes, scans, and assigns appropriate nomenclature to health and administrative information.
  • Files paper health and administrative documents in accordance with approved procedures.
  • Maintains a system of paper medical records.
  • Retrieves and delivers records or documents upon request from authorized personnel.
  • Interfaces with personal computer applications as well as VISTA and CPRS applications.
  • Forwards requests for the transfer of records to other Veterans Health Administration (VHA) medical facilities via Release of Information (ROI).
  • Identifies and prepares records for retention and disposition.
  • Responds to customer needs in a positive and efficient manner.
  • Protects the confidentiality of patient information and access to computer files according to established guidelines.
  • Communicates with customers in a courteous, tactful, and respectful manner.
  • Effectively manages conflict and resolves problems with customers constructively.
  • Performs clerical duties associated with the retention, maintenance, disposition, and control of administrative and medical records.
  • Transfers or prepares for archiving records of patients not receiving medical care within a three-year period.
  • Performs additional duties as assigned.

Requirements

  • Must be a U.S. Citizen to apply for this job.
  • Selective Service Registration is required for males born after 12/31/1959.
  • May be required to serve a probationary period.
  • Subject to background/security investigation.
  • Selected applicants will be required to complete an online onboarding process.
  • Participation in the seasonal influenza vaccination program is required for all Department of Veterans Affairs Health Care Personnel (HCP).
  • Participation in the COVID-19 vaccination program is required for all Veterans Health Administration Health Care Personnel (HCP).
  • Must meet time in grade and general experience requirements.
