About the position

The File Clerk (OA) position is located in the Health Information Management Section of the Business Office Service at the VA Southern Oregon Health Care System. The role involves managing health and administrative information, including receiving, indexing, scanning, and filing documents to ensure accurate patient records in the computerized patient records system (CPRS). The incumbent will also maintain a system of paper medical records and ensure confidentiality and customer service in all interactions.

Responsibilities

  • Receive, index, scan, and assign nomenclature to health and administrative information for patient records.
  • File paper health and administrative documents according to approved procedures.
  • Maintain a system of paper medical records and retrieve documents upon request.
  • Interface with personal computer applications and various VISTA and CPRS applications.
  • Forward requests for record transfers to other VHA medical facilities via Release of Information (ROI).
  • Identify and prepare records for retention and disposition.
  • Perform clerical duties related to the retention, maintenance, and control of medical records.
  • Transfer or prepare for archiving records of patients not receiving medical care within a three-year period.
  • Assist co-workers and supervisors as needed.

Requirements

  • One year of general experience in clerical or office work that indicates ability to perform the duties of the position.
