About the position

The File Clerk position at the Department of Veterans Affairs Central Texas Veterans Health Care System (CTVHCS) is primarily responsible for performing general office tasks to support the Scanning Unit Section of Care in the Community (CITC) Service. The role involves ensuring that medical documentation received from Community Care providers is properly uploaded and made available for review by internal VA clinical staff, as well as preparing imaging CDs for Veterans referred to community providers.

Responsibilities

  • Receive, review, index, and upload medical documentation from Community Care providers into the correct veteran's record using the Computerized Patient Record System (CPRS).
  • Utilize various computer applications to retrieve and index/upload Community Care medical documentation.
  • Review medical documents from Community Care providers and assign appropriate document naming nomenclature.
  • Attach indexed/uploaded documents to a progress note viewable in CPRS and alert the appropriate medical provider for review and electronic signature.
  • Ensure all necessary health/administration information is integrated into VistA through VistA Imaging software.
  • Index/upload results for urgent requests within established timeframes.
  • Retrieve Community Care results from fax folders and upload them into CPRS.
  • Ensure appropriate disposition of hard copy documents after verification of indexing/uploading.
  • Burn CDs of imaging tests and procedures for Community Care providers.
  • Perform related administrative duties as assigned.

Requirements

  • One year of general experience in clerical, office, or related work that demonstrates the ability to perform the duties of the File Clerk position.
  • Knowledge of multiple systems and current computer technology, particularly imaging and uploading applications.
  • Familiarity with medical terminology and medical record file systems.
  • Basic knowledge of regulations governing patient confidentiality and information release.
  • Skill in typing and data entry, with the ability to operate personal computers and troubleshoot minor issues.

Nice-to-haves

  • Experience with VistA and Fee Basis Claims System Doc Manager applications.
  • Familiarity with the National VA contractor portal.
