About the position

The University of Illinois at Urbana-Champaign is seeking a Finance Coordinator for the Department of Chemical & Biomolecular Engineering (ChBE). This role is pivotal in providing comprehensive financial oversight, reporting, and analysis for the department. The Finance Coordinator will be responsible for managing over 400 accounts across various funding sources, including state funds, indirect cost recovery (ICR), self-supporting accounts, federal and private grants, as well as gift and endowment funds. The position requires a proactive approach to financial management, ensuring that all expenditures are tracked and analyzed effectively. In this role, the Finance Coordinator will prepare detailed financial reports and gather necessary financial and academic data to assist in developing strategies for managing departmental accounts. This includes addressing short-term deficits, restructuring ICR, and managing start-up funding. The coordinator will oversee departmental expenditure approvals and purchasing processes through systems like Chrome River, ensuring compliance with university policies. Additionally, the role involves reviewing endowment accounts and providing guidance on investment options and expenditure levels, as well as preparing reports for scholarship and fellowship fund usage. Administrative responsibilities include overseeing the operations of the ChBE office in the absence of the Associate Director of Finance and Administration (ADFA), which may involve temporary supervision of office staff. The Finance Coordinator will also assist the ADFA in formulating summer instructional budget requests and will be expected to perform other duties as assigned to support the department's mission.

Responsibilities

  • Conduct financial oversight, analysis, and reconciliation of 400+ accounts for all expense types including state, ICR, self-supporting, federal, and private grants, and gift/endowment funds.
  • Prepare reports, gather financial and academic data, and assist with devising strategies to manage accounts, short-term deficits, ICR restructuring, and start-up funding.
  • Oversee departmental expenditure approvals and purchasing via Chrome River and other internal purchasing systems.
  • Track and analyze departmental expenditures, offering cost-saving suggestions and funding strategies, and process any necessary expense, budget, and/or salary transfers.
  • Review endowment accounts, offer guidance to ADFA regarding investment options and expenditure levels, and prepare reports and analysis for the use of scholarship and fellowship funds.
  • Review/approve student account payment, foreign national payment requests, and bi-weekly timesheets.
  • Assist the ADFA to formulate summer instructional budget requests.
  • Oversee operations in the Department of Chemical and Biomolecular Engineering office in the absence of the ADFA, including temporary supervision of office staff.

Requirements

  • Bachelor's degree in business administration, management or a field related to position.
  • Two (2) years of professional business, financial, and/or managerial work experience. (A Master's Degree may substitute for one year of work experience.)

Benefits

  • Hybrid work schedule (remote work and in-person work in Champaign-Urbana each week).
  • Target salary range of $55,000 - $75,000, determined by credentials and alignment with position requirements.
