About the position

The Finance Operations Specialist at Westinghouse Electric is a pivotal role that supports a variety of back-office functions including Procurement, Client Credit, Accounts Payable, and Finance/Accounting. This position is designed for individuals who are detail-oriented and capable of managing multiple tasks in a fast-paced environment. The specialist will be responsible for maintaining vendor master files, processing employee expense reports, and ensuring compliance with JSOX audit requirements. The role also involves developing and maintaining documentation for policies and procedures, as well as identifying opportunities for process improvements. The Finance Operations Specialist will work closely with various teams to ensure effective communication and support, ultimately contributing to the overall efficiency of the finance operations within the organization. In this role, the specialist will perform necessary vetting of vendor requests, manage system maintenance for expense report processing, and assist with 1099 issuance. They will also participate in audits and maintain a thorough understanding of internal controls related to finance. Regular reporting to management on project statuses and initiatives is expected, along with providing backup support for Client Credit and Accounts Payable teams. The ideal candidate will possess strong analytical skills, excellent communication abilities, and a proactive approach to problem-solving, ensuring that customer service needs are met in a timely manner. This position is integral to maintaining the flow of information and support across business units, making it essential for the success of the finance operations team.

Responsibilities

  • Perform necessary vetting of vendor master file maintenance requests for new vendors and changes to existing vendors.
  • Perform system maintenance for employee expense report processing including employee profiles and data integration.
  • Assist with procedures around 1099 issuance and mitigate any issues.
  • Aid with central airfare reconciliation of transactions with traveling employees.
  • Participate in JSOX audit requirements and respond to auditor requests as assigned.
  • Maintain a working knowledge of Company Level Control documents related to Finance.
  • Provide consultation and documentation efforts regarding policies, procedure manuals, and internal controls.
  • Submit regular reports to management on the status of projects and initiatives.
  • Maintain knowledge of policies and procedures for Client Credit and Accounts Payable to provide support as needed.
  • Develop good customer relationships and address customer service needs timely.
  • Liaise between management staff, customers, and employees.
  • Assist management staff as directed.

Requirements

  • 1-3 years proven work experience or similar experience (preferred).
  • Bachelor's degree or post-secondary education in Accounting, Business Administration, Finance or similar field (preferred).
  • Advanced knowledge of accounting software, Microsoft suite, and MSD365 ERP solutions (a plus).
  • Ability to manage details accurately and meet deadlines in a fast-paced environment.
  • Aptitude to recognize and resolve issues in a timely manner.
  • Knowledge of accounting principles and credit-related laws (a plus).
  • Excellent analytical and problem-solving skills; detail-oriented.
  • Excellent verbal communication skills and ability to convey information clearly.
  • Great interpersonal skills and customer service orientation.
  • Ability to self-manage in stressful situations.
  • Quick decision-making and problem-solving abilities.
