About the position

The Finance Ops & Media Operations Coordinator position is a critical role within a Fortune 500 Software Organization, located in San Jose or San Francisco, CA, offering a hybrid work environment. This contract position, with a pay range of $32 to $42 per hour, is designed for individuals with a strong background in marketing and/or advertising agency experience, particularly in managing digital media and financial workflows across various stakeholders and platforms. The primary focus of this role is to bridge the gap between media strategy and finance teams, ensuring effective management of budgets, pacing, and media billings. The ideal candidate will be passionate about creating cross-functional processes and will have the opportunity to mentor or train peers on best practices. This role requires a detail-oriented individual who can thrive in a fast-paced environment, demonstrating strong quantitative and analytical skills. The Finance Ops & Media Operations Coordinator will collaborate closely with the AMER media teams to own budget reconciliation for campaigns across the GMI organization, develop and maintain detailed budget tracking, and create a comprehensive view of media budgets to report on pacing and overall spend. Additionally, the coordinator will ensure alignment between media plans, media flighting, and finance checkbooks, work directly with media teams to keep them informed about transfers and funding, assist with purchase order management, and monitor media flighting to ensure compliance with approved budgets. Implementing financial controls to prevent over or under spending and conducting monthly reconciliations of media spend against allocated budgets are also key responsibilities of this role.

Responsibilities

  • Collaborate with the AMER media teams to own budget reconciliation for campaigns across the GMI organization.
  • Develop and maintain detailed budget tracking for each Media Team that suits their respective needs and specific campaigns.
  • Create a comprehensive view of media budgets across the AMER org to report on pacing + overall spend.
  • Ensure that there is alignment between Media Plans, Media Flighting, and Finance Checkbooks.
  • Work directly with the Media Teams to ensure they are up to date on any transfers, shifts, and incremental funding.
  • Assist the media team with PO management, and RTS.
  • Monitor media flighting to ensure it aligns with approved budgets.
  • Implement financial controls to prevent over/under spending.
  • Conduct monthly reconciliations of media spend against allocated budgets to make sure that spend aligns with the correct Finance classification/coding.

Requirements

  • 3+ years in a digital media, marketing or finance role
  • Advanced Microsoft Excel and data modelling skills
  • Familiar with Databricks is a plus
  • Hands-on experience overseeing media billings and/or media reconciliation within platforms
  • Understanding of media planning/buying processes experience is a plus
