About the position
The Financial Administrator plays a crucial role in bridging the gap between open sales and closing sales, ensuring that project budgets are met. This position involves effective communication with various teams, including production, sales, estimating, and the CFO, to coordinate project budgets, material ordering, and tracking sales. The role requires strong organizational and communication skills, as well as proficiency in QuickBooks and project management software.
Responsibilities
- Keep up with pending sales in the job dashboard, ensuring they do not remain for more than 2 weeks unless special circumstances arise.
- Answer incoming phone calls and dispatch them to the appropriate party.
- Open new leads/jobs in DASH during calls, entering all available information.
- Monitor and maintain office supplies.
- Ensure subcontractors have the correct insurance coverage (COIs).
- Match invoices with budgets from estimates.
- Enter receipts into QuickBooks.
- Assist project managers in creating work order budgets.
- Call customers for payment follow-ups.
- Monitor and update the pending sales dashboard.
Requirements
- High school diploma or GED required.
- 1 year of management experience preferred.
- 1 year of experience in financial services preferred.
- Proficiency in QuickBooks.
Nice-to-haves
- Bilingual in Spanish is a plus but not required.
