About the position

The Financial Aid Clerk at Career Care Institute provides essential clerical and administrative support to the Financial Aid Department. This role is focused on assisting current and returning students in navigating financial aid processes, ensuring that all necessary documentation is collected and processed accurately. The clerk will also serve as a point of contact for students, providing information and directing them to appropriate advisors.

Responsibilities

  • Greet students and clients
  • Provide general information and services to the public
  • Create letters as directed
  • Perform general office duties such as filing paperwork, making copies, faxing, answering phones, and taking messages
  • Prepare UPS and mail out letters
  • Conduct data entry using Diamond D
  • Schedule appointments using the electronic scheduler
  • Maintain confidentiality of documents and student issues
  • Keep the office area neat and orderly
  • Cooperate with the Campus Director and other staff
  • Clock in and out as scheduled
  • Attend all required meetings
  • Report major problems to the direct Supervisor or Campus Director
  • Uphold and enforce school policies
  • Demonstrate professional behavior and demeanor at all times
  • Fill out mandatory employee weekly reports each Friday
  • Assist with Financial Aid documentation filing
  • Follow up with continuing students to collect required documentation for financial aid awarding process
  • Scan and upload approved Financial Aid files and additional requested documentation
  • Ensure all Financial Aid paperwork is processed according to company procedures
  • Remind students to make their payments in a timely manner
  • Advise students on the consequences of schedule changes as they apply to Financial Aid awards
  • Help students fill out the correct forms and provide necessary documents
  • Maintain student financial aid files and records

Requirements

  • High School Diploma or GED
  • 1+ years of experience in financial services or general office environment
  • Strong interpersonal and communication skills
  • Computer skills, including experience with PeopleSoft and Diamond D
  • Detail-oriented and well-organized
  • Ability to work independently and as part of a team
  • Positive attitude and ability to work in a fast-paced environment

Nice-to-haves

  • Experience in financial services preferred
  • Familiarity with loan processing
