About the position

The Financial Aid Operations Analyst at Oakland Community College plays a crucial role in managing the systems and operational processes related to financial aid. This position is designed to ensure compliance, efficiency, and accuracy in financial aid operations. The analyst will focus on key operational functions such as financial aid transmittal and disbursement, providing financial aid data for decision-making, maintaining policies and procedures, and creating efficiencies to streamline essential financial aid processes. Additionally, the analyst will be responsible for processing financial aid awards and verifying student files, which requires a comprehensive understanding of all departmental responsibilities. The role is set in a multi-cultural and diverse working environment, emphasizing the importance of collaboration and communication across various departments. The analyst will assist in the management and development of Campus Logic software, including Student Forms and Campus Communicator, and will oversee the implementation of SoftDocs and Perceptive software. A significant part of the role involves managing financial aid transmittal and disbursement processing, working closely with Financial Services, the Registrar, Veterans Affairs, and Financial Aid to ensure the proper disbursement of funds. Training financial aid staff on the transmittal process and maintaining procedures is also a key responsibility, along with monitoring for financial aid fraud and identity theft in collaboration with Admissions, the Registrar, Financial Services, and Public Safety. Moreover, the analyst will assist in developing policies and procedures related to financial aid systems and operations, support the implementation of Gainful Employment, and update the Net Price Calculator annually. The role also includes managing the Financial Aid Directory and assisting the Promise Zone Programs with disbursement, transmittal, and reconciliation. The analyst will process financial aid awards and verify financial aid information according to federal guidelines, as well as assist the Systems and Operations Manager with self-audits and other assigned responsibilities.

Responsibilities

  • Assist in management and development of Campus Logic software including Student Forms and Campus Communicator.
  • Manage the development and implementation of SoftDocs and Perceptive software.
  • Manage Financial Aid Transmittal/Disbursement Processing, ensuring proper disbursement of funds in collaboration with Financial Services, Registrar, Veterans, and Financial Aid.
  • Train Financial Aid Staff on Transmittal process and maintain procedures, working closely with the Associate Director of Systems on changes to benefit transmittal.
  • Assist on Communication Management development.
  • Monitor for Financial Aid Fraud and Identity Theft, collaborating with Admissions, Registrar, Financial Services, and Public Safety on prevention efforts.
  • Assist in developing policy and procedures related to Financial Aid Systems and Operations.
  • Assist with reporting Institutional Effectiveness: MITW report.
  • Support implementation of Gainful Employment, working closely with Institutional Effectiveness and the Registrar.
  • Update Net Price Calculator on an annual basis.
  • Manage Financial Aid Directory (P: Drive).
  • Assist the Promise Zone Programs with disbursement/transmittal and reconciliation.
  • Process Financial Aid awards and verify financial aid information per federal guidelines (File Verification).
  • Assist Systems and Operations Manager with Self-Audits.
  • Perform other responsibilities as assigned.

Requirements

  • Bachelor's Degree in a relevant field.
  • Minimum of 3 years of Financial Aid Experience.
  • Proficiency with Microsoft Office Suite.
  • Basic understanding of accounting practices and budgeting.
  • Ability to build and interpret financial aid data reports for departmental analysis.
  • Experience in creating and managing databases.
  • Excellent interpersonal and training skills.
  • Ability to work cooperatively with financial aid staff and other departments.
