About the position

The Academic Resources and Planning unit at Cal Poly is tasked with providing leadership and strategic oversight for the financial and resource operations of the Provost and Executive Vice President. This unit, led by the associate vice president, is responsible for conducting financial analysis, projections, modeling, and data analytics services that support decision-making processes within the Office of the Provost and Academic Affairs. The goal is to align university resources with the academic mission and implement the academic priorities outlined in the university's strategic plan. In this role, the Financial and Operations Specialist will work under the general direction of the Associate Vice President for Academic Resources and Planning. The incumbent will perform specialized technical, analytical, and administrative duties related to financial and resource management operations for the division of Academic Affairs. Responsibilities include conducting financial analysis and reporting, preparing reports and briefing materials, and providing recommendations for policy or procedural changes. The specialist will oversee the financials of the Office of the Provost, coordinate sensitive administrative duties, and manage project and program activities while interpreting and applying operational policies and procedures. This position requires a high level of confidentiality and access to sensitive information, including collective bargaining strategies, executive personnel records, and financial records. The work performed will significantly impact the management of the Office of the Provost and the Academic Affairs division, necessitating a comprehensive understanding of the provost's priorities and the functions of the Office of the Provost in relation to the broader campus environment.

Responsibilities

  • Conduct financial analysis and reporting for the division of Academic Affairs.
  • Prepare reports and briefing materials for decision-making processes.
  • Provide recommendations for policy or procedural changes based on financial analysis.
  • Oversee the financial operations of the Office of the Provost.
  • Coordinate and perform sensitive administrative duties related to financial management.
  • Manage project and program activities within the division.
  • Interpret and apply operational policies and procedures for the division.

Requirements

  • Equivalent to graduation from a four-year college or university in Accounting, Finance, or a related field.
  • Three years of progressively responsible experience in Accounting, Finance, or related fields.
  • Ability to apply accounting procedures and practices to analyze and interpret accounting data.
  • Expertise in budgeting, financial data analysis, and record keeping.
  • Demonstrated ability to prepare complex financial statements and reports.
  • Ability to convey technical accounting information to non-accountants.

Nice-to-haves

  • Graduate degree in a related field (may substitute for one year of required experience).
  • Experience in public and business administration and operational management.
