About the position

The Financial Assistant will provide comprehensive administrative support to the Pension and Endowments Department (PENIN) at the World Bank Group. This role involves managing schedules, coordinating meetings, assisting with legal documentation, and supporting various departmental functions to ensure efficient operations. The position is crucial for maintaining effective communication and organization within the team, contributing to the management of significant financial assets.

Responsibilities

  • Provide a full range of administrative support to the assigned PENIN Unit Manager and team.
  • Manage the manager's day-to-day calendar and communicate changes on time.
  • Coordinate the team's meetings, handle room reservations, and prepare meeting agendas and minutes.
  • Assist in editing, formatting, and printing reports/documents for circulation.
  • Compile various dashboards and reports including operational risk and team training.
  • Lead the filing of electronic and hard copy documents to ensure compliance with established standards.
  • Assist in performing basic research and analysis, suggesting and implementing solutions.
  • Support HR initiatives, hiring requisitions, and recruitment efforts.
  • Handle resource management activities including vendor management and payments.
  • Assist in coordinating conferences, meetings, and events.
  • Coordinate the execution, transmission, and archival of all legal documentation.
  • Handle ad hoc duties assigned by supervisors.

Requirements

  • High school diploma with 5 years relevant work experience in a large international organization, or equivalent combination of education and experience.
  • Basic understanding of economic and financial principles and terminologies.
  • Good knowledge of specialized administrative/operational support functions.
  • Thorough knowledge of Bank Group policies, procedures, and practices.
  • Excellent office technology skills, including experience with SAP, Admin portal, Outlook, and Microsoft Office suite.
  • Dedicated team player with excellent organization skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Flexibility to perform a variety of tasks and expand the scope of work.
  • Willingness to grow and help on the business side of the work program.

Nice-to-haves

  • Strong Excel and PowerPoint skills will be an advantage.
  • Experience in database management and major event/course planning.
