About the position

WealthScorz Financial Group, located in Berkeley Heights, NJ, is seeking a dedicated Financial Executive Administrative Assistant to provide high-level support for their rapidly growing practice. This role is essential in driving team initiatives, managing internal and external correspondence, and maintaining exceptional client relationships. The ideal candidate will be adaptable, able to handle changing priorities, and comfortable using a variety of technology platforms. The Executive Administrative Assistant will work closely with the Advisor, assisting with administrative support, scheduling, client service, application processing, and collaboration with the Advisor's team and various internal departments. The position requires excellent verbal and written communication skills, with the ability to articulate complex concepts clearly. The candidate must be extremely detail-oriented and organized, proactive, and willing to take the initiative to improve efficiencies. A client-first attitude is essential, along with the ability to use discretion and maintain client confidentiality. Proficiency in Microsoft Office is a plus, and the ability to work independently while managing multiple projects simultaneously is crucial. This is a full-time position with a schedule of 40 hours per week, primarily during the day shift from Monday to Friday. The Executive Administrative Assistant will manage the Advisor's email correspondence and professional calendar, schedule and confirm appointments, assist with electronic filing and recordkeeping, and ensure that the Advisor's client information is up to date and accurate. Additionally, the role involves acting as a direct liaison between the Advisor and clients, providing ad hoc support on assigned projects, and following up on the status of all new business applications.

Responsibilities

  • Manage Advisor's e-mail correspondence and professional calendar
  • Manage Advisor's licensing and training status
  • Schedule and confirm appointments in a timely manner
  • Assist with electronic filing and recordkeeping
  • Proactively manage internal platforms and systems so Advisor's client information is up to date and accurate
  • Accurately complete, submit, and follow up on status of all new business applications
  • Act as direct liaison between Advisor and clients
  • Provide ad hoc support on assigned projects and any escalations
