About the position

The Financial Operations Assistant plays a vital role in supporting the financial operations of the Center for Applied Isotope Studies at the University of Georgia. This position is responsible for processing invoices, reconciling payments, assisting with purchasing and procurement, and maintaining accurate financial records. The assistant will work closely with the Business Manager, research faculty, and clients to ensure efficient financial operations and compliance with university policies.

Responsibilities

  • Processing departmental sales and service revenue.
  • Processing payments and deposits, including checks, credit cards, electronic transfers, and intra-university payments received by the Center for Applied Isotope Studies.
  • Reconciling invoices and managing accounts receivable, tracking both current and previous-year balances.
  • Fostering positive communication with clients regarding billing, payments, and balances.
  • Posting and reviewing revenue transactions to departmental spreadsheets daily to maintain accurate records for all sales and service accounts.
  • Supporting the Business Manager during the Fiscal year-end process, including generating financial reports and managing the transition of files for archiving.
  • Supporting the Center's purchasing and procurement functions.
  • Entering and approving purchase requisitions in UGAMart and monitoring outstanding orders to ensure timely delivery.
  • Maintaining and managing yearly blanket orders to support ongoing operations.
  • Initiating payment requests, intra-university payments, and journal entries in OneSource.
  • Posting and reviewing expense transactions to departmental spreadsheets daily to maintain accurate records for all sales and service accounts.
  • Assisting with Fiscal year-end process, including the closeout of purchase orders.
  • Providing customer service and general office support.
  • Greeting and assisting walk-in visitors, answering the main phone line and departmental email, and providing information regarding services, fees, and billing policies.
  • Coordinating the scheduling of departmental vehicles.
  • Logging and tracking incoming packages, ensuring they are delivered to the appropriate recipient within the Center.
  • Overseeing incoming and outgoing UGA Campus Mail, UPS, FedEx, and DHL shipments.
  • Other duties as assigned.

Requirements

  • Technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate.
  • Exceptional written, oral, and interpersonal communication skills.
  • Proficient in OneSource, UGA Financials, UGAmart, Touchnet, Microsoft Excel, Word, and QuickBooks.
  • Strong customer service skills, organizational abilities, and attention to detail.
  • Proven ability to handle confidential information with discretion.
  • Capable of multitasking and meeting deadlines with minimal supervision.
  • Familiarity with operating a multi-line phone system.
