About the position

The Financial Print Proxy Specialist Project Manager at Toppan Merrill is a key role within the Service and Operations team, responsible for managing proxy design projects and serving as the primary contact for clients. This position requires strong customer service skills, project management expertise, and the ability to collaborate with various internal teams to meet client needs effectively.

Responsibilities

  • Nurture and develop effective executive-level client relationships.
  • Manage overall proxy design projects.
  • Lead or assist clients in preparing disclosure documents related to proxy statements.
  • Participate in client meetings, presentations, and onboarding processes.
  • Act as a liaison between clients and internal departments for requested services.
  • Drive internal change while collaborating with cross-functional teams.
  • Serve as the first point of contact for client requests or inquiries.
  • Ensure resolution to client inquiries by executing directly or escalating to appropriate teams.
  • Document all activities and resolutions using an internal workflow tool.
  • Maintain proper documentation for job tracking and billing.

Requirements

  • Demonstrated success in a client-facing environment with a focus on service excellence.
  • Ability to connect and engage with high-level clientele and internal employees.
  • Excellent presentation and formal communication skills.
  • Strong technical aptitude with proficiency in Microsoft Office and Adobe Suites.
  • Proven problem-solving and decision-making skills.
  • Ability to quickly learn and adapt to changing conditions, regulations, and technology.
  • Ability to work productively both individually and in a team environment.
  • Strong organizational skills with attention to detail.
  • Experience in project oversight and multitasking under pressure.
  • Strong financial services industry knowledge, particularly regarding document types and their applications.
  • BA/BS degree in business or related field preferred, or equivalent combination of education and experience.
  • Five to seven years of previous work experience in a similar client service environment.

Nice-to-haves

  • Knowledge and experience in the Transaction & Compliance Services Industry.
  • Familiarity with Proxy Statements, Accounting, XBRL, and SaaS tools.
