About the position

The Financial Secretary/Administrative Assistant at Calvary Baptist Church is responsible for providing administrative support to the ministerial staff and managing various office functions. This role includes handling financial transactions, maintaining records, and facilitating communication within the church office.

Responsibilities

  • Welcome office visitors
  • Perform general office work
  • Maintain files, records, office supplies and various office requirements
  • Review, open and distribute mail
  • Keep calendar of appointments
  • Answer phone calls, transferring to proper office; take messages
  • Maintain church calendar (paper and online) and inform appropriate staff of activities
  • Serve as (Sr.) Pastor's receptionist and make appointments as requested
  • Facilitate all banking business of the church within scope of responsibility
  • Approve and process requisitions and purchase orders
  • Post weekly offerings to individual accounts
  • Prepare monthly and annual financial reports for Admin team and church business meetings
  • Prepare quarterly and annual government reports
  • Check and total all invoices when approved; inform responsible persons of their budget expenditures
  • Work with the ministerial staff and appropriate church teams in planning, implementing and monitoring the annual church budget
  • Receive and answer questions about financial matters
  • Maintain a file of invoices, correspondence and reports
  • Prepare and issue payroll checks to staff members and designations and organizations upon approval in accordance with church policy
  • Maintain church staff personnel records
  • Accept additional responsibilities as assigned and tasks as requested

Requirements

  • A minimum High School diploma or equivalent required
  • Some technical School or College training preferred
  • A minimum of 5 years' experience in clerical, bookkeeping or related field
  • Church Administrative Assistant experience preferred
  • Working experience with Microsoft Office or similar software required
  • Experience with accounting software desired
  • Must be able to lift a minimum of 25 lbs. and climb stairs
  • Effectively written and oral communications skills
