About the position

The Fire Installation Project Coordinator at Kistler O'Brien Fire Protection is responsible for coordinating and processing all activities related to the products sold and maintained by the Fire Alarm Installation department. This entry-level position offers an opportunity to grow within the fire protection industry, providing essential support to ensure customer satisfaction and project success.

Responsibilities

  • Answer phone and communicate with customers.
  • Contact customers to schedule installation or service.
  • Schedule daily runs for technicians in the scheduling system Sedona.
  • Create jobs and service tickets in Sedona.
  • Upload documents into jobs and service tickets in Sedona.
  • Order materials coordinating with the warehouse for scheduled work.
  • Request engineers to complete signed and sealed drawings.
  • Submit purchase orders and check requests to Accounts Payable.
  • Complete the permit submittal package for submission to the Authority Having Jurisdiction (AHJ).
  • Request plan review checks once the permit submittal has been approved.
  • Add project closeout performances on the incentive spreadsheet.
  • Complete the service agreement commission form for new services sold.
  • Meet or exceed the monthly billing budget.
  • Reconcile technicians' time sheets with actual time in Sedona from the Field Service Unit (FSU).
  • Prepare billing for review with the department manager.
  • Update purchase order numbers for service tickets.
  • Update inspection frequencies once billing has been completed.

Requirements

  • Customer service experience preferred.
  • No prior experience needed.
  • Proficient in Microsoft Office.
  • High school diploma or GED required.
  • Valid driver's license required.
  • Excellent verbal and written communication skills.
  • Exceptional customer service skills.
  • Capable of learning and retaining technical product knowledge.

Nice-to-haves

  • Experience in the Fire Protection industry preferred.
  • College degree preferred.
