About the position

The Fiscal Coordinator I position at Oregon State University is responsible for the financial establishment and management of award and cost-sharing records within the Office for Sponsored Research and Award Administration (OSRAA). This role involves ensuring accurate reporting and compliance for externally funded sponsored projects, providing guidance to stakeholders, and maintaining collaborative relationships across various departments. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

Responsibilities

  • Establish and modify restricted funds in OSU's Financial Information System (Banner FIS) when awards are received.
  • Review source documents and contract language for specific financial and reporting terms and conditions.
  • Analyze and interpret awards for reporting and budgeting requirements.
  • Determine cost allowance, indirect cost rates, and proper OSU chart of account codes for budgeting, invoicing, and payment procedures.
  • Complete a PI Letter and prepare an e-mail notification to advise stakeholders of the allowances and/or restrictions of the award.
  • File award and proposal documents in the document imaging system.
  • Maintain accurate data on the number and value of awards received and processed each month for databases and reporting.
  • Monitor OSRAA e-mail for incoming award notifications and log them into the Setup queue for tracking.
  • Assist OSU's diverse research community with award set-up, cost share, and job-related financial compliance questions and issues.
  • Process Organizational Prior Approval System (OPAS) Pending Award/Pending Index Requests.

Requirements

  • A Bachelor's degree with 24 quarter (16 semester) hours of accounting courses and two years of accounting experience; OR a CPA or PA certificate and two years of accounting experience; OR 24 quarter (16 semester) or 240 clock hours of accounting courses and three years of accounting experience.
  • Accounting experience must include at least 6 of the following: documenting and resolving problems within an accounting system; classifying revenues and expenditures to funds and accounts; ensuring accounting system conforms with applicable controls; reconciling accounts to general or control ledgers; preparing journal vouchers; applying accounting principles to one or more functional areas; processing data using a computer; communicating technical material orally and in writing.

Nice-to-haves

  • Previous grant and contract accounting experience at an institution of higher education or an organization with complex financial accounting systems.
  • Experience with Banner FIS.
