About the position

This position oversees the Fleet Asset and Inventory Management Program within Public Works, including establishing inventory levels, maintaining accurate inventory counts, and handling all aspects of the supply chain process. The role involves researching vendors and suppliers, purchasing goods in accordance with City policies, receiving and distributing purchased goods, administering warranty claims and/or product returns, and processing related invoices. Comfortability with technology is key, as this position plays a leading role in the administration of assigned software systems, assisting in administering bids and purchase orders, preparing reports and recording data utilizing management software, and overseeing the operation and compliance of the citywide fuel sites and fuel management system. In addition to a competitive salary and comprehensive benefits package, this position is also eligible for supplemental benefits such as a Cell Phone Allowance of $31 per pay period, all uniform clothing provided including a $350 annual jeans allowance, and Personal Protective Equipment issued by the City as needed. The position may also offer summer alternate schedule options (i.e., 4/10s) and paid training and tuition reimbursement. The responsibilities include overseeing the Fleet Asset & Inventory Management program, performing acquisition, stocking, and distribution of supplies, parts, and fluids, and maintaining accurate inventory records. The position also requires the administration of assigned software systems, preparation of reports, and management of the ordering and invoice payment process. Additionally, the role involves vendor research and communication, fuel tracking, registration, permits, compliance, and emergency operations response.

Responsibilities

  • Oversees the Fleet Asset & Inventory Management program.
  • Performs acquisition, stocking, and distribution of supplies, parts, and fluids.
  • Maintains accurate inventory records such as stock counts and usage volumes.
  • Develops operating procedures for order placement and material issuance.
  • Keeps assigned work areas clean and free of clutter.
  • Serves as a key point person in the administration of assigned software systems.
  • Uses assigned software to record orders, inventory levels, and other inventory control activities.
  • Assists software vendor with system upgrades and training.
  • Prepares standard and non-standard reports utilizing data from assigned software.
  • Administers the ordering and invoice payment process by preparing purchase order requisitions.
  • Assists in the administration of formal bid processes and budget forecasting.
  • Participates in bid award recommendations and assists in the preparation of service agreements.
  • Performs return orders and warranty claims.
  • Communicates with vendors and internal customers regarding product availability and order status.
  • Negotiates prices and mediates product discrepancies with vendors.
  • Monitors fuel storage levels and coordinates with vendors to maintain adequate supply.
  • Assists in environmental compliance activities as assigned.
  • Responds for snow removal and ice control operations during off-duty times.

Requirements

  • High School Diploma or equivalent.
  • Four to seven years of experience working with auto parts, inventory, bookkeeping, accounting, or related work experience.
  • Commercial Driver's License (CDL) Class A with air brakes and tanker vehicle endorsements, or the ability to obtain within 180 days of employment.
  • KDHE required underground storage tank Class A/B operators license or the ability to obtain within 90 days of employment.
  • Forklift operators certification, or the ability to obtain within one year of employment.
