The Fleet Operation Support Specialist II is an administrative and operational role that focuses on coordinating fleet maintenance, vehicle assignments, documentation, scheduling, tracking, vehicle compliance, database accuracy, and cost controls. This position is crucial in ensuring that the fleet operates efficiently and meets the high standards expected by customers. The Support Specialist will provide exceptional customer service, collaborating with team members, customers, and outside vendors to ensure timelines are met, vehicles are compliant, and department KPIs are maintained. In this role, the Support Specialist will perform various clerical and administrative duties related to the Fleet Management program. This includes maintaining vehicle files, records, billing files, invoice payments, and relationships with outside vendors and service providers. The Specialist will also be responsible for maintaining detailed, accurate, and up-to-date information for assigned vehicles via Fleet Management systems, ensuring compliance with State, Federal, and other regulations. Analyzing, managing, and reporting customer vehicle information and shop throughput will be part of the daily responsibilities, along with resolving escalated service issues and supporting customers during catastrophic events. The Support Specialist will work closely with management to utilize team resources effectively, ensuring quality work products and effective customer service against key performance indicators. Proactive communication and relationship management with customers are essential to meet their expectations and deliver on department deliverables. The role may also involve providing detailed vehicle information to support utilization and reliability, monitoring vehicle repairs, and ensuring that timelines for repairs and enhancements are met. Following up with customers to confirm completion and satisfaction is also a key aspect of this position.
