About the position

The Flooring Project Coordinator at Henricksen plays a crucial role in supporting Account Executives and the project team throughout the sales process. This position is designed to ensure seamless order management and effective collaboration among various stakeholders, including the internal Customer Support team, installers, vendors, and clients. The coordinator acts as the central hub for driving the overall quality of project delivery, engagement, outcomes, and service. In this role, the coordinator will engage in project relationship management by executing work as directed and aligning with project roles and accountabilities. They will serve as a liaison between the Account Executive and cross-functional teams, which include suppliers, installers, general contractors, and end users. Proactive communication is essential, as the coordinator will need to raise questions and escalate issues as necessary to ensure smooth project execution. The coordinator will also be responsible for order entry and management, which involves preparing quotes for clients using specification support software, placing orders, and maintaining status reports. They will ensure accountability for client sign-off verifications, reconcile manufacturer acknowledgments and vendor invoices, and track product deliveries. Close collaboration with the Account Executive, Designer, and Project Manager is vital throughout the quote to order process. Additionally, the coordinator will work with the Accounting department to determine billing status, timelines, and resolve any discrepancies. Logistics and issue resolution are key components of this role, as the coordinator will need to address punch-list issues, file freight claims, and order replacement products as necessary. Customer service is paramount, and the coordinator must maintain a professional demeanor while communicating transparently with clients and vendors to promote an exceptional client experience. They will also manage materials by coordinating submittal reviews, ordering samples, and maintaining a sample library.

Responsibilities

  • Serve as the main support to Account Executives and project team throughout the sales process.
  • Execute order management requirements for projects as a key collaborator across internal Customer Support team, installers, vendors, and clients.
  • Act as the central hub that drives overall quality of project delivery, engagement, outcomes, and service.
  • Engage and execute work as directed and in alignment with project roles, accountabilities, and core processes.
  • Serve as a liaison between Account Executive and cross-functional teams, including suppliers, installers, general contractors, and end users.
  • Prepare quotes to clients using specification support software with accurate vendor discounts and Account Executive markups applied.
  • Place orders and maintain status reports, ensuring accountability for required client sign-off verifications.
  • Reconcile manufacturer acknowledgments and vendor invoices, tracking product to designated locations and scheduling deliveries.
  • Stay connected with Account Executive, Designer, and Project Manager throughout the quote to order process.
  • Enter estimator's quote into the system for order entry on flooring projects.
  • Work with Accounting to accurately determine billing status, timelines, supplier waivers, credits, cost adjustments, and invoice discrepancies.
  • Resolve punch-list issues, file freight claims, and place orders for replacement products.
  • Maintain a professional and positive demeanor across situations, clients, and vendors, promoting exceptional client experience.
  • Coordinate submittal reviews, order samples, maintain sample library, and schedule manufacturer product updates and education.

Requirements

  • High school diploma or equivalent required.
  • Proficient in Microsoft Office365 applications (including MS Word, Excel, and PowerPoint).
  • Ability to take direction and work independently and collaboratively in a fast-paced, deadline-driven, and team environment.
  • Detail and task-oriented with proven organizational and problem-solving skills.
  • Strong customer service and interpersonal orientation.
  • Strong verbal and written communication skills.

Nice-to-haves

  • Direct experience working in a commercial flooring company.
  • Knowledge of AS400 software programs is a plus.
  • Exposure/Experience with bidding and quoting.
