About the position

The Office Administrator at Johns Hopkins Applied Physics Laboratory (APL) will provide essential administrative support to various groups within the Force Projection Sector (FPS). This role involves managing routine administrative tasks, facilitating recruitment processes, coordinating office logistics, and ensuring effective communication within the organization. The Office Administrator will play a key role in enhancing operational efficiency and supporting the overall success of the FPS teams.

Responsibilities

  • Provide administrative support to Group Supervisors and staff members.
  • Order office supplies and process employee expense reimbursements.
  • Manage recruiting and interview processes for FPS Operations groups.
  • Assist in logistics for staff office moves and ensure complete office setups.
  • Participate in onboarding activities for new FPS Operations staff members.
  • Serve as the FPS Wireless Coordinator and manage wireless device requests.
  • Administer telephone facility contracts for FPS field offices.
  • Ensure all property is accounted for and process surplus property requests.
  • Update and distribute weekly status reports and communications for FPS Operations.
  • Perform monthly reviews and audits of FPS timesheet adjustments.

Requirements

  • High school diploma or equivalent.
  • 5+ years of administrative office experience.
  • Strong communication skills with a customer-centric focus.
  • Proficiency in Microsoft Excel.
  • Ability to independently prioritize tasks and resolve issues.
  • Demonstrated ability to work effectively under pressure and adapt to changing priorities.
  • Ability to obtain a Secret level security clearance.

Nice-to-haves

  • Associate's degree in a business-related field.
  • Experience with recruiting-related functions.
  • Experience in providing administrative support to financial, business operations, or IT organizations.
