About the position

The Operations Coordinator for Fraternity and Sorority Life at Clemson University is responsible for providing comprehensive administrative and logistical support to the Office of Fraternity and Sorority Life. This role involves managing financial functions, supporting departmental operations, maintaining records, assisting in event planning, and overseeing personnel functions to ensure the smooth operation of the office and support for student organizations.

Responsibilities

  • Track department budget and CUSG funding allocation for Greek Councils, maintaining internal spreadsheets and monitoring expenses.
  • Oversee department revenue of the FSL fee and respond to inquiries regarding the fee.
  • Ensure proper submission of invoices and contracts through university processes.
  • Act as the primary departmental p-card holder, maintaining records and monitoring purchases according to Procurement guidelines.
  • Advise student leaders on university policy and procedures related to purchases.
  • Manage day-to-day operations of the FSL office and front desk reception, providing administrative support to staff.
  • Perform daily administrative functions including responding to inquiries, scheduling appointments, and maintaining confidential files.
  • Schedule weekly team meetings and prepare minutes.
  • Oversee maintenance and improvement of office facilities and supply inventory.
  • Update and maintain department website content using University Cascade Content Management System.
  • Maintain the reservation system for the Norris Classroom and Norris Guest Suite.
  • Manage the FSL student database (Greek Roster System) and coordinate updates with the university web developer.
  • Maintain online membership cards for FSL Greek Community members and coordinate FERPA training for chapter presidents.
  • Oversee release of chapter grade reports and coordinate signing of Student Organization agreements for FSL chapters.
  • Support logistics for departmental programs, including facility reservations and catering, providing on-site support as needed.
  • Manage hiring process logistics for full-time employees and student desk assistants, ensuring timely submission of HR documentation.

Requirements

  • High School diploma or equivalent experience.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using office software and database management.
