About the position

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting the day-to-day operations of our office. The ideal candidate will have excellent communication skills, high attention to detail, and the ability to multitask effectively. This position is essential for ensuring that the office runs smoothly and efficiently, providing support to various departments and assisting with administrative tasks as needed. You will be responsible for managing phone calls, coordinating projects, and handling various office duties that contribute to the overall productivity of the team. The role requires a proactive approach to problem-solving and the ability to work independently while prioritizing tasks effectively. The working hours for this position are Monday through Friday, from 8:00 AM to 4:30 PM. The candidate will be expected to maintain a smoke-free work environment and adhere to company policies and procedures. This is a temp-to-perm position, offering a competitive hourly wage of $24.99 to $25.00, with the potential for permanent employment after the initial assignment period. After 90 days on assignment, the client offers holiday pay for recognized holidays, and Randstad provides health, dental, and vision benefits, along with a 401k plan.

Responsibilities

  • Answering and directing phone calls, taking messages as needed
  • Coordinating projects and ensuring deadlines are met
  • Purchase orders data entry (ERP system, Epicor) - Production material inventory for purchases
  • Ordering supplies (Office supplies and Production materials)
  • Prepare Expense report from managers in Concur
  • Scanning and submitting invoices to accounts payable
  • Follow up with accounting for suppliers payments
  • Support EHS and HR as needed (Permit updates, printing and posting documents)
  • Assisting with event planning and coordination
  • General office tasks, such as filing, scanning, and organizing documents
  • Customer Service Support (Customer emails response to inquiries on orders status)
  • Providing administrative support to various departments as needed

Requirements

  • 2 years of experience in an administrative support role
  • Excellent oral and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to work independently and prioritize tasks effectively
  • Experience with customer support and front desk operations
