About the position

The Front Desk Administrator for Associates in Periodontics plays a crucial role in managing patient interactions and administrative tasks within a dental office. This position involves welcoming patients, scheduling appointments, handling insurance billing, and maintaining a clean and organized front desk area. The administrator will work closely with dental staff to ensure a smooth operation and provide excellent customer service to patients, primarily the elderly.

Responsibilities

  • Open the office by unlocking doors and preparing the day's schedule.
  • Check telephone and email messages, updating the schedule as needed.
  • Welcome and check-in patients, ensuring all patient information is complete.
  • Secure copies of insurance cards and update patient records for HIPAA compliance.
  • Work with eAssist dental solutions for patient billing and insurance collections.
  • Calculate patient portions due at treatment appointments and collect fees accurately.
  • Answer incoming phone calls courteously and process requests appropriately.
  • Follow up on unscheduled recalls to ensure patients are not overlooked.
  • Collect payments and accurately record transactions in patient accounts.
  • Maintain orderliness at the front desk and reception area, providing hospitality to waiting patients.
  • Maintain the electronic system for patient confirmations and follow up as required.
  • Receive mail and packages, distributing them to designated persons.
  • Assist the Insurance Coordinator with statements and other scanning tasks as time allows.
  • Perform closing responsibilities, including turning off lights and locking doors.

Requirements

  • High school diploma or GED.
  • 2 years of experience in general dentistry or a related field.
  • Proficiency in Microsoft Word and Excel.
  • Basic math skills and ability to calculate patient fees accurately.
  • Excellent verbal and written communication skills.
  • Strong customer relations skills and ability to interact effectively with patients and staff.
  • Knowledge of dental terminology and periodontic procedures.

Nice-to-haves

  • Experience with dental software such as SoftDent.
  • Ability to work in a caring and compassionate manner with elderly patients.
