About the position

C&C Wellness Med Spa is seeking a dedicated Medical Assistant to serve as the first point of contact for clients, ensuring a positive and welcoming experience. This role involves providing exceptional administrative support, patient education, and wellness sales, contributing to the overall success of the med spa while maintaining high standards of patient care.

Responsibilities

  • Serve as the first point of contact for patients, handling inquiries with professionalism and compassion.
  • Assist patients with completing waiver forms, HIPAA documents, and other required paperwork.
  • Answer inbound calls, voicemails, emails, and messages, providing accurate information about services and scheduling appointments.
  • Check patients in and out of appointments and ensure efficient patient flow.
  • Confirm appointments, follow up with patients, and reschedule no-shows or cancellations.
  • Conduct patient satisfaction surveys to enhance client experience.
  • Maintain accurate patient records and appointment details in the CRM system.
  • Manage day-to-day email marketing campaigns to promote specials and new services.
  • Collect co-payments and outstanding balances.
  • Monitor and organize the schedule to ensure smooth clinic operations.
  • Keep the reception area clean, calm, and inviting.
  • Assist with posting, editing, and creating content for social media pages.
  • Present and explain wellness plans and services tailored to patients' needs.
  • Educate clients on the benefits of wellness plans and encourage participation.
  • Proactively promote additional services and packages to support patient wellness goals.

Requirements

  • High School Diploma; a college degree preferred in Marketing, Sales, or Business Administration.
  • 1 year of experience in a medical or spa front desk role.
  • 1 year of experience with medical terminology.
  • 1 year of computer skills, including proficiency in Microsoft Office Suite and familiarity with CRM systems.

Nice-to-haves

  • Work experience in the Med Spa industry, Health, Nutrition, or Fitness is a plus.
  • Familiarity with MedSpa applications for sales, appointment bookings, and emails.
