About the position

The Front Desk Agent/Receptionist is responsible for providing excellent customer service and administrative support in a physical therapy setting. This role involves greeting visitors, managing phone calls, scheduling appointments, and assisting with various administrative tasks. The ideal candidate will be bilingual in English and Spanish, ensuring effective communication with a diverse clientele.

Responsibilities

  • Greet and welcome visitors in a professional and friendly manner
  • Answer phone calls and direct them to the appropriate department or individual
  • Provide information and assistance to clients, customers, and visitors
  • Schedule appointments and maintain calendars for staff members
  • Assist with administrative tasks such as filing, data entry, and document preparation
  • Coordinate projects and tasks as assigned by management
  • Get therapy pre-authorizations and organize medical records
  • Maintain a clean and organized reception area

Requirements

  • Bilingual in Spanish and English
  • Previous experience in a customer service or administrative role preferred
  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize tasks effectively
  • Attention to detail and accuracy in all work performed
  • Ability to maintain confidentiality of sensitive information
  • Strong organizational skills with the ability to manage calendars and schedules
