About the position

The Front Desk Agent at the Union League of Philadelphia is responsible for managing guest check-ins and check-outs, handling reservations, and addressing guest requests. This full-time role requires a professional demeanor and the ability to work weekends, ensuring a welcoming and efficient experience for all members and guests.

Responsibilities

  • Assist arriving and departing members and guests
  • Thoroughly understand and follow proper credit and member billing policies and procedures
  • Monitor room status information
  • Know room locations, types of rooms available, and all room rates
  • Use suggestive selling techniques to sell rooms and promote other services of the club
  • Balance credit cards at the end of the shift
  • Communicate billing issues to accounting and the front desk manager
  • Transfer and post all charges for in-house guests
  • Coordinate room status updates by notifying housekeeping of all checkouts, late checkouts, early check-ins, special requests, and part-day rooms
  • Provide information regarding availability and rates for members and guests
  • Manage room keys
  • Operate front desk equipment
  • Process member/guest check-ins and check-outs
  • Post and file all charges to members' and other accounts
  • Use proper telephone etiquette
  • Always greet members and guests with a smile
  • Process mail, packages, and messages that arrive at the front desk
  • Know of daily activities and meetings taking place in the club
  • Report unusual occurrences or requests to the Front Desk Manager
  • Know all safety and emergency procedures
  • Maintain the cleanliness and neatness of the front desk area
  • Complete assigned tasks from the Front Desk Manager
  • Show up in full uniform

Requirements

  • High school diploma or equivalent
  • Customer service experience
  • Well-groomed, professional appearance
  • Outstanding written and verbal communication skills
  • Ability to work independently and multi-task
  • Desire and willingness to work as a team and within other departments
  • Personal maturity, sound judgement, motivation, and integrity
