About the position

The Front Desk and Travel Administrator at Palladium plays a crucial role in supporting the Manager of Facilities and Office Services by managing day-to-day operations of the U.S. offices, including travel and event coordination. This position requires a physical presence in the office to provide on-site support and greet guests, ensuring a welcoming environment.

Responsibilities

  • Answer phones, open the door for visitors, and greet clients in a personalized, friendly manner.
  • Support the Partnership travel services and maintain a relationship with the corporate travel provider.
  • Manage conference room meeting schedules and support workspace allocations.
  • Maintain office cleanliness and organization in collaboration with the Facilities and Office Services team.
  • Provide facilities orientation to onboarding staff, covering office protocols and providing a tour of the office.
  • Make appointments for repairs or maintenance work and follow up on any deficiencies.
  • Assist teams with shipping and use of FedEx, DHL, and other accounts, ensuring accurate billing codes are followed.
  • Perform office tasks including maintaining records, ordering supplies, and submitting expense reports.
  • Ensure office and meeting room supplies are well stocked and consistently available each day.
  • Work with Washington DC office services vendors to ensure quality and value of work.
  • Execute, review, and submit all office services and IT accounts and invoices, ensuring timely processing with appropriate documentation.
  • Anticipate supervisor's and leadership's needs and provide real-time support for unexpected issues.
  • Assist with other tasks as assigned.

Requirements

  • Previous experience working at the front desk is required.
  • Experience in an office management capacity is required.
  • Excellent team player with strong interpersonal skills.
  • Demonstrated experience in dealing with vendors and maintaining relationships with suppliers.
  • Creative problem-solving skills and a desire to create a positive working environment.
  • Ability to adapt quickly to changes in strategy and priorities in a fast-paced environment.
  • Outstanding communication skills and proficiency in Microsoft Office.

Benefits

  • Full-time equivalent annual base salary ranging from $60,000 - $70,000, with potential for additional variable incentive compensation.
