About the position

The Front Desk Clinical Receptionist at Yale University's Comprehensive Cancer Center provides high-level administrative and clerical support to the Disease Team at Smilow Cancer Hospital. This role involves coordinating outpatient clinical activities, managing patient interactions, and ensuring efficient scheduling and communication within the medical office.

Responsibilities

  • Answer telephone calls and assess urgency, providing assistance or directing callers appropriately.
  • Provide specialized information related to section policies, procedures, insurance, and services, assisting patients with form completion.
  • Build monthly provider master schedules and clinic calendars, modifying them as necessary for time off or emergencies.
  • Schedule patient appointments, resolve scheduling conflicts, and notify patients of changes or cancellations.
  • Receive patients and visitors, updating patient information and verifying insurance details.
  • Book diagnostic tests and specialized appointments, ensuring patients have necessary paperwork and instructions.
  • Schedule surgical procedures and coordinate pre and post-operative exams and lab work.
  • Schedule and coordinate departmental meetings, classes, clinics, and conferences.
  • Utilize computer systems to input and retrieve data, generating complex reports and maintaining clinical statistics.
  • Key correspondence and clinical information, composing general written material as needed.
  • Obtain and verify patient charts, medical records, and lab reports for completeness.
  • Sort, screen, and distribute incoming mail, ensuring completion of medical forms by clinical staff.
  • Establish and maintain filing systems and inventory of office supplies.
  • Oversee and instruct support staff, ensuring adequate coverage of the reception desk.
  • Perform additional functions incidental to office activities.

Requirements

  • High school diploma or GED with four years of related work experience, or an Associate degree with two years of related work experience, or an equivalent combination of experience and education.
  • Demonstrated proficiency with EPIC or similar EMR system.
  • Strong attention to detail and experience with clinical intake.
  • Proven ability to coordinate multiple tasks in a fast-paced medical office.
  • Exceptional customer service skills with a patient-centered approach.
  • Strong oral and written communication skills and organizational skills.

Nice-to-haves

  • Oncology experience preferred.
  • Prior experience with Cadence.
