About the position

The Front Desk Coordinator at Metro Physical & Aquatic Therapy plays a crucial role in providing exceptional customer service and administrative support within a multidisciplinary therapy environment. This full-time position involves welcoming patients, managing appointments, and ensuring smooth operations at the front desk, contributing to a positive patient experience and efficient clinic workflow.

Responsibilities

  • Welcome patients and visitors with a warm and inviting attitude, both in person and over the phone.
  • Demonstrate a high level of customer service at all times.
  • Schedule appointments in person or by telephone to ensure patient satisfaction and efficient use of treatment rooms.
  • Generate reports, logs, and lists with high accuracy, including authorization and verifications.
  • Tally and reconcile co-pays and manage credit extended to patients.
  • Call treating physicians to obtain updated prescriptions for treatment.
  • Obtain Plan of Cares from treating physicians and update the system accordingly.
  • Set up new and returning patient cases in Theraoffice, including demographic and insurance information.
  • Notify clinicians of patient arrivals and manage service delivery compared to schedule.
  • File and retrieve patient records to ensure availability of treatment information.
  • Maintain business office inventory and equipment, including ordering supplies and scheduling repairs.
  • Adhere to HIPAA guidelines and maintain strict confidentiality.
  • Perform other duties and assignments as required.

Requirements

  • One year of Physical Therapy/Medical office experience.
  • Experience with an EMR System is a plus.
  • Ability to communicate professionally and courteously with customers, co-workers, and management.
  • Current or recent experience in a medical practice ensuring compliance with regulations.
  • Strong teamwork skills and ability to work well within a team environment.
  • Excellent interpersonal and communication skills.
  • Proficiency in the Google Suite platform and ability to learn new programs quickly.
  • One year of experience in a customer service-oriented role is strongly desired.
  • High school diploma or GED is required.
