About the position

The Front Desk Coordinator at LakePointe Orthodontics is responsible for managing the day-to-day operations of the front desk, ensuring efficient patient scheduling, and providing excellent customer service. This role involves overseeing patient management, handling administrative tasks, and maintaining a welcoming environment for patients. The coordinator will also be involved in communication with patients and specialists, as well as managing office supplies and financial transactions.

Responsibilities

  • Establish the working day schedule and a protocol for efficient appointing
  • Schedule patients and provide school excuses and appointment slips
  • Organize protocols for emergency, walk-ins, and missed appointments
  • Answer the telephone, screen calls, take messages, and answer inquiries
  • Enter complete information for new patients into the computer
  • Ensure smooth transition for new patients into the practice and communicate with specialists
  • Monitor and control the recall system
  • Greet patients and make them feel welcome in the office
  • Follow up on patients on the No Show report and Needs Appointment report
  • Verify and understand dental insurance
  • Keep pre-treatment recall and retention systems up-to-date and send follow-up letters
  • Take responsibility for the accuracy of patient statuses
  • Respond to emails or text messages from patients
  • Ensure all patients in active treatment have an appointment
  • Order office supplies and take payments at the desk
  • Sort mail and help keep the reception area neat and tidy
  • Update patient information in the computer as needed
  • Set up and monitor a telephonic confirmation system
  • Manage outgoing correspondence and x-rays
  • Charge out credit cards for payments
  • Participate in staff meetings and perform other tasks as assigned by the doctor

Requirements

  • Minimum of 2 years of experience in a dental office or customer service position
  • Strong customer service skills with at least 5 years of experience
  • Proficient in computer skills and Microsoft Office
  • Typing speed of 60 wpm
  • Exceptional communication and interpersonal skills
  • Ability to build positive relationships with patients and team members
  • Strong problem-solving skills and attention to detail
