About the position

The Front Desk Coordinator at the National Scoliosis Center is responsible for creating a positive first impression for patients and ensuring exceptional service at the front office. This role involves managing patient interactions, handling documentation, and supporting the overall patient experience in a medical setting.

Responsibilities

  • Greet and check-in patients, collecting necessary documentation such as insurance cards and IDs.
  • Establish and build rapport with patients, treating them and their families with respect.
  • Escort patients to exam rooms and announce their arrival to medical staff.
  • Prepare patient intake forms and registration forms for new patients.
  • Collect and update patient information, including height and weight.
  • Scan documents and ensure they are saved in patient records.
  • Collect payments and complete charge slips for the billing department.
  • Schedule follow-up appointments and check out patients after visits.
  • Answer phones, assess caller needs, and provide assistance or transfer calls as necessary.
  • Audit electronic charts for future appointments and confirm upcoming appointments for providers.
  • Protect patient health information according to HIPAA standards.
  • Report any unsafe practices or conditions to management.
  • Maintain cleanliness of exam rooms and common areas.

Requirements

  • 1-3 years of experience as a receptionist or front desk assistant, preferably in a medical setting.
  • Proficiency in Microsoft Office Suite.
  • Experience with AdvancedMD or other Electronic Medical Record systems.
  • Knowledge of HIPAA regulations regarding patient health information.
  • Exceptional interpersonal skills and service orientation.
  • Strong organizational and prioritization skills.

Nice-to-haves

  • Prior experience in a medical-related field is a plus.
  • Ability to work well in a fast-paced environment.
