About the position

The Medical Receptionist at Patriot All Pro Physical Therapy Centers serves as the first point of contact for patients, playing a crucial role in fostering positive relationships between patients and the clinic. This full-time position involves scheduling appointments, managing phone communications, verifying insurance information, and ensuring proper patient registration. The receptionist also handles copay collections and acts as a liaison with various healthcare and legal entities.

Responsibilities

  • Schedule appointments and check insurance eligibility.
  • Train and learn the EMR/Scheduling system.
  • Answer office phone calls and route them appropriately.
  • Check patients in and ensure all intake forms are completed correctly.
  • Inform patients of any financial balances due at the time of service.
  • Check insurance eligibility online or via phone during service.
  • Collect copays at the time of service.
  • Assist patients with insurance referrals and scripts.
  • Obtain insurance authorizations and create new patient accounts.
  • Scan and fax forms to insurance companies.
  • Obtain prior reports from outside facilities.
  • Receive and review faxed materials sent to the office.
  • Track patients to ensure maximum visits are attained.
  • Initiate and retrieve information for W/C, MVA, and PI injury claims.
  • Communicate effectively with insurance companies, law offices, patients, and office personnel.

Requirements

  • Previous experience working in a Physical Therapy or Chiropractor office is required.
  • High school diploma or GED is required.
  • Knowledge of office procedures, preferably from a certificate or Associate's degree in business/administrative processes.
  • Basic computer skills are important.
  • Proficient writing skills are a must.
  • Excellent phone skills are required.
  • Must be friendly, warm, and caring.
  • Ability to prioritize and multi-task effectively.
  • Proficient in English, with fluency in Portuguese and Cape Verdean Creole, and a strong understanding of Spanish preferred.
  • Strong organizational skills are required.
  • Ability to work well with diverse personalities.

Nice-to-haves

  • Experience in a physical therapy office is preferred.
