About the position

The Front Desk Office Coordinator at Bel Brands is a hybrid role that serves as the central point of contact for the corporate office in Chicago. This position involves managing office operations, greeting employees and visitors, overseeing mail and supplies, maintaining the café, and leading safety initiatives. The role requires strong organizational skills, attention to detail, and a customer-first orientation, providing an excellent opportunity for career growth in a dynamic corporate environment.

Responsibilities

  • Manage the front desk and greet employees and visitors.
  • Ensure common areas are well-presented and maintained.
  • Order, receive, stock, and distribute office supplies.
  • Ensure employees have necessary office/desk space and supplies.
  • Serve as the liaison with building property management for office suite issues.
  • Distribute packages and manage mail using USPS and UPS systems.
  • Sort and forward mail to employees in-office and remote.
  • Maintain cleanliness and organization of the café and troubleshoot appliances.
  • Ensure compliance with CSR initiatives regarding reusable items in the café.
  • Keep the café stocked with essentials like coffee and snacks.
  • Lead the Emergency Response team and enforce safety protocols.
  • Provide onboarding and safety awareness for new hires.
  • Manage safety reporting and coordinate Global Safety Week initiatives.
  • Support office events and manage meeting logistics.
  • Provide administrative support to the leadership team, including travel and expense assistance.
  • Plan and arrange meetings, conferences, and special functions.

Requirements

  • Associates degree preferred.
  • 2+ years of Administrative, Hospitality, and/or Customer Service experience in a fast-paced environment.
  • Experience with reception required.
  • Strong communication (written and verbal) and interpersonal skills.
  • Ability to multi-task in a high-demand environment with a sense of urgency.
  • Creative problem solver with a proactive mindset.
  • Discretion in handling confidential material.
  • Mastery level proficiency in computer applications (Word, PowerPoint, Excel, Outlook).
  • Excellent organizational skills with attention to detail.
  • Ability to think and work independently and prioritize tasks.

Nice-to-haves

  • Proficiency in additional languages is a plus.
  • Experience in a corporate environment is preferred.
