About the position

The Front Desk Receptionist at GS1 Consulting is responsible for providing excellent customer service by managing the agency's main phone line, greeting guests, and performing various administrative tasks. This role is crucial for ensuring smooth communication within the agency and with external visitors, while also maintaining a professional and welcoming environment.

Responsibilities

  • Answer the agency's main phone line courteously and transfer calls to appropriate staff or departments.
  • Log all received calls into a phone log.
  • Check the admin email inbox for voicemail messages and forward them to the appropriate staff or department.
  • Greet guests and visitors, assist them, and direct them to the appropriate staff or department.
  • Monitor lobby cameras for foot traffic or suspicious visitors.
  • Maintain a current contact listing for the agency and important numbers.
  • Notify appropriate contacts of any FedEx or UPS deliveries at the front desk.
  • Assist with scanning old paper files into an online electronic software system as needed.
  • Perform various administrative assistance duties as required.

Requirements

  • Associate's degree or administrative assistant certification and/or equivalent work experience.
  • 2 years of customer service experience in a customer-facing role with strong verbal communication skills.
  • 2 years of experience answering high-volume main phone lines.
  • 2 years of experience using MS Teams for receiving and forwarding calls, as well as for meetings.
  • 5 years of previous administrative assistant experience with strong written communication skills.
  • Working knowledge of MS Suite or Office 365, including data entry and the ability to learn additional software programs as needed.
